Your data
Where is my data kept?
On this phone, and nowhere else. Properties, tenants, rent, expenses and photos are written to a private database inside the app. There is no server behind Easy Landlord, so there is nothing to upload and nothing for us to look at.
Do I need an account?
No. No sign-up, no e-mail, no password. That is deliberate: an app with no accounts has no database of landlords to leak and no login to lose.
Can you see my tenants' names or what they pay?
No. That information never leaves your phone. Even when the app crashes it sends only the technical fault, never a screenshot and never your records.
What happens if I lose my phone?
Whatever you have backed up survives. Android copies the database to your own Google account automatically, and the backup file you export from Settings holds everything including the photos. Export one now and again — it takes ten seconds and it is the only real insurance.
How do I move to a new phone?
Two ways. Either use your phone's own transfer during setup, which carries the app and its data across, or export a backup from Settings on the old phone and use Restore on the new one.
Is the backup automatic?
The ledger is: Android copies the database and settings to your Google account on its own. Photos are not, because Android's automatic backup is capped at about 25 MB per app and a handful of receipt photos would exceed it — and once it is exceeded Android silently skips the whole backup. So photos travel with a direct phone-to-phone transfer, and the manual export from Settings is the one that holds absolutely everything.
Can I back up to Google Drive?
You already do, without setting anything up: Android copies the database and your settings to your own Google account. There is no Drive login inside the app, because that would mean adding accounts to an app whose whole point is not having any. To put the photos in Drive as well, export a backup from Settings and share it to Drive — one tap in the share menu.
How do I delete everything?
Uninstall the app. That removes the database and every photo it holds. If your phone's automatic backup is on, also remove the app's backup from your Google account settings.
Rent and status
What do the coloured dots mean?
Green: the rent for this month is in. Amber: it is due but still inside the grace period. Red: the grace period has passed and it is officially late. Grey: the flat is empty, so nobody owes anything.
What is the grace period?
The number of days after the due date before the app treats the rent as late. Set it to 3 and a rent due on the 5th only turns red on the 8th. It exists so that a tenant who always pays two days late does not paint your dashboard red every month.
Why is an empty flat not red?
Because nothing is wrong with it, financially speaking — nobody owes you money. It is a problem worth seeing, which is why it is listed above the properties that have already paid, but it is not the same kind of problem as unpaid rent.
The rent changed. Do I lose my history?
No. Change the amount in the property form and only future months use the new figure. Every payment already recorded keeps the amount that was actually paid.
A tenant paid part of the rent. What do I do?
The app records a month as paid or not paid; there are no partial payments. For a part payment, the honest approach is to leave the month unpaid until it is settled and write what happened in the tenant memo.
Money and the tax office
Is this accounting software?
No, and it does not try to be. The revenue screen adds up exactly what you entered — nothing more. If you forgot to log an expense, it is not in the number. That is why the warning on that screen never goes away.
Why does the total not match my bank account?
Almost always because an expense was never entered, or a payment was marked in the app on a different day than the money actually arrived. The app knows only what you told it.
Does the security deposit count as income?
No. A deposit is money you are holding, not money you have earned, so it never enters the revenue figures. If you keep part of it at the end of a tenancy, the app records how the deposit was settled but still does not add it to your income by itself — whether that is taxable income depends on your country, and that is a question for your accountant.
Can I give something to my accountant?
Yes. The Revenue screen exports a one-page PDF for the period you are looking at — monthly, quarterly or yearly — in the language the app is set to.
Can I use two currencies?
No. The app handles one currency, the one you choose in Settings, and it never converts anything. Multi-currency would mean exchange rates, and exchange rates mean the numbers change depending on the day you look at them.
Tenants and leases
A tenant is moving out. What do I do?
Open the property and use "tenant moved out". You record the date and how the deposit was settled, and the flat becomes vacant. Everything that tenant did — their payments, their photos, their notes — stays with them and is still there under previous tenants.
Will the new tenant see the old one's information?
No. Each tenancy is a separate record. The new tenant starts with an empty history, and the previous tenant's notes, payments and move-in photos remain attached to the previous tenancy.
The same tenant renewed the lease. What do I do?
Use Renew on the property and pick the new end date. It is the same tenancy, so the payment history continues unbroken. If the rent also changed, edit the amount in the form afterwards.
Can my tenant use the app too?
No, and that is on purpose. There is no tenant portal, no invitations and no shared logins. This is a private notebook for the person who owns the property.
Can I keep the lease itself in the app?
Yes. Open Documents on the property and attach a photo or a PDF. Set the date the lease ends in the property form, and the app will remind you a month before it runs out.
Can I keep a copy of my tenant's ID?
Yes — Documents takes a lease, an ID, a certificate or anything else, and it stays on this phone like everything else. Two things are worth knowing. A document filed under a tenant is deleted the moment that tenancy is deleted, so the next tenant never inherits it. And holding someone's identity document makes you responsible for it under data-protection law in most countries; the app can keep it safe on your phone, but it cannot carry that responsibility for you.
Reminders and messages
When do reminders arrive?
In the morning on the day rent is due, and again when the grace period runs out. Lease reminders arrive a month before the lease ends. All of them are produced by your own phone; no server is involved.
I am not getting any reminders.
Two settings usually cause it. Notifications must be allowed for the app, and on Android 12 and newer the app also needs permission for alarms and reminders — without it the system may delay a reminder by hours or drop it. Both are in your phone's settings under this app.
Does the app message my tenant by itself?
Never. It writes the message, shows it to you, lets you change it, and then opens WhatsApp, Messages or your mail app with the text ready. You press send. The app has no way to send anything on its own.
Why is the WhatsApp button greyed out?
Because the tenant's number has no country code. WhatsApp links need the full international number, like +44 7700 900123. Without it the link would open a chat with whoever happens to own that number in another country, so the app refuses rather than guessing.
Can I change the wording of the messages?
Yes, and it is remembered. In Settings, open message templates and write them in your own words. Tap a tag to drop in the tenant's name, the address, the month or the amount, and the app fills them in each time.
Free and paid
What is free?
Everything, for up to three properties. Above that there is a subscription. Backup, restore and the PDF export are free at every level — your own records should never be held hostage.
What happens if I stop paying?
Nothing you have entered is taken away. All your properties stay readable and editable, and you keep using the app exactly as before. The only thing that stops is adding another property beyond the free limit.
I changed phones and I had a subscription.
Open Settings and use restore purchase. The store, not this app, keeps the record of what you bought, so it comes back without paying again.
